Tasks Overview

The Tasks tab, located in the left-side menu, allows you to manage and view all your tasks or all tasks in one place. Here’s a detailed guide on how to use it:

Creating a New Task

  1. Add New Task: Click the "Create New Task" button to get started.
  2. Task Title & Description: Provide a title for your task and add a description to clarify the task's purpose.
  3. Linked Company & Object: Select the company the task is linked to, as well as the related object (whether it’s a claim, expense, or invoice).
  4. Attachments: If relevant, you can attach any necessary files.
  5. Assignee: At the top of the task window, select an assignee from the drop-down menu. Note that only users from your company will appear in this list, as assignees outside of
    your assigned company cannot be added.
  6. Status: During task creation, you can assign a status (e.g., New, In Progress, Waiting for 3rd Party, Done, Archived) that reflects the current stage of the task.
  7. Due Date: Choose a due date for the task.

Sharing a Task

Share Button: Clicking the “Share” button generates a link that you can share with other users. Please note that only users with active access to the Task module and permissions for that specific task will be able to open the link.

Subtasks

You can add subtasks by clicking the "Subtasks" button within a task. 

If a task contains subtasks, clicking the plus sign next to the task in the main table will expand the subtasks for easy viewing.

Task Filters & Views

Tasks can be filtered and viewed in several ways:

  • Filters: You can filter by task status:
    • All tasks
    • All open tasks
    • My tasks(Open)
    • My tasks(All)
  • Task Types: You can also filter by specific task types such as Claim Query, Batch Data Entry, or general tasks.
  • Table View: The table shows key information, including:
    • Task title
    • Claimant company
    • Date created
    • Due date
    • Date completed
    • Status: (New, In Progress, Waiting for 3rd Party, Done, Archived). Task status can only be updated inside the task itself, not from the table.
    • Assignees: You can assign multiple users to a task. To remove an assignee,
      hover over the name, and a cross button will appear.

Each column in the table has its own filter, making it easy to organize your tasks based on your preferences.

Switching to Kanban View

  • Kanban View: In the top-right corner, you can switch from table view to Kanban view,
    which sorts tasks into columns based on their status (e.g., New, In Progress, Waiting for
    3rd Party, Done, Archived).

Task Management Options

  • Convert to Subtask, Archive, or Delete: Inside each task, you can convert it to a subtask, archive, or delete the task.
  • Auto-save: All changes you make are saved automatically; there is no need for a “Save” button.

The fields and options available within each task depend on the task type selected.

Task Types

  1. Free-Form Task: A regular task with no specific constraints.
  2. Batch Data Entry Task: These are created from the “Manage Expenses” section using the “Start Processing” button. They are often assigned to a Batch Data Entry user to process multiple expenses at once.
  3. Query-Related Task: When a query about a claim is received, the user can create a task tied to the query. This task is then managed during the preparation of the query response (part of the SmartAI-driven process).
